Assign Dental Recruitment’s automated locum booking system is a simple and user friendly portal that utilises smart phone technology. Users are able to manage locum bookings through a web app and a dedicated web portal.

The automated locum booking system is available to use 24 hours a day, 7 days a week. The system been developed to speed up the process of booking an agency dental professional (temp) for periods of emergency cover.
How it works
The locum booking system allows practices to make bookings for a locum / temp by entering their specific practice requirements. This booking request is pushed via Assign Dental’s automated locum booking system to matching dental professionals within our staff bank. A booking confirmation is sent to both clients and candidates once this booking is accepted by a temp from our staff bank. The booking notification is sent by text and email confirming all the details for the assignment.
Users can manage their past, present and future locum bookings via the user friendly calendar function within the system.
Frequently Asked Questions - General
You must click the relevant login box above (candidate login or client login) to create an account. This will open a new web page with a secure portal and you will be presented with a registration page. For security and email address verification a random password will be allocated and emailed to you. This can be changed within the web portal once your account is validated and active.
For clients, once your practice details are verified we will activate your account and it will be ready for use. You will receive email confirmation of this.
For candidates, once you have received your password you will be required to log into your account and fill out the application form. We also require you to submit your compliance documents so that they can be verified. One of our consultants will contact you for a brief interview over the phone. If there are any further checks required or any documents missing we will let you know at this point. The application form will ask you to confirm your experience, skills, availability and any specialities.
We will activate your account once all checks are done and compliance documents are validated. An email will be sent to you to confirming activation of your account.
We follow strict CQC requirements and ensure that all our locum dental professionals are GDC registered and fully compliant. All relevant documentation is available on request.
Frequently Asked Questions - Clients
To make a locum booking log into the web portal and click on the ‘Request for Dental Staff’ button. Fill in the short form detailing your practice requirements and any specific notes (eg parking arrangements etc). Click ‘Submit Request’.
This will immediately start the process of checking our database for available dental professionals who suit your requirements. All your booking requests can be viewed on the calendar function within the web portal.
A message is sent out to many dental professionals based on proximity and skills that suit your requirements. The locum booking is allocated to the first candidate to accept the booking. Notification of the locum booking is sent to both clients and candidates by text and email.
Clients can submit a special or bespoke locum booking request by contacting us on 02036332033 or email us at email@example.com. A bespoke request might include a specific nurse who has been to the practice before. Our locum team would process this request and you would then receive notification of acceptance by email and text.
Amendments to your booking can be made if a locum booking request has not been accepted by a dental professional. You will receive email confirmation of this amendment. If the booking has been accepted by a dental professional, please contact the office to make an amendment.
A locum booking can be cancelled if the booking has not been accepted by a dental professional. You will receive email confirmation of this cancellation.
If the booking has been accepted by a dental professional, you are still able to cancel the booking up to 6 hours before the start time. This will be without charge.
If the booking is cancelled within 6 hours of the start time, a cancellation charge will apply. Please refer to our terms of business and service rates.

Notifications of locum booking requests, amendments, cancellations and acceptance are sent immediately via text message and email.
Confirmation is sent by text and email for all communication regarding locum bookings. Please check that emails have not gone into your spam or junk folder. If you do not receive confirmation for your locum booking request please contact us. The most likely scenario is that there is no available dental professional to complete your booking request.
Please check the web portal and double check the calendar to see if the booking is ‘Pending’ (has been accepted) or ‘Never Filled’.

The dental professional will normally have timesheets with them for completion once they have finished their locum booking with you. This needs a verification signature by an authorised person at the practice. A blank timesheet can also be downloaded from the ‘Resource Centre‘ section of our website.
Invoices for locum bookings are sent out on a weekly cycle. This is normally by Wednesday of the following week once all timesheets have been verified by our accounts department. Invoices are sent by email to the email address provided during the registration process (unless otherwise advised).
Assign Dental Recruitment currently accepts payment by bank transfer or cheque. As per our terms of business we have strict 14 day payment terms.
Frequently Asked Questions - Candidates
You must be GDC registered to actively use our automated locum booking system. If you have passed your exams and are only awaiting GDC registration you can still register an account with us. Your account will become active once you are GDC registered. You must upload and supply the relevant documentation for us to verify.
You can only receive locum bookings once your account has been activated. This requires us to check all your compliance documents and verify your experience. Once your account is active you will receive locum booking requests that match your experience and skills.
To accept a locum booking click on the link in the text message or email to take you into the web portal. Here you will have the opportunity to check the locum booking request including practice name, address, date and hours.
You can check the location of the locum booking in a maps application utilising your PC or mobile phone. Click ‘Accept’ if you are happy to accept this booking. You will be allocated the locum booking if it is still available. Confirmation of the booking will be sent to you by text and email.
All your past present and future bookings will be available to view in your calendar function in the web portal. Details of each booking are easy to find and view.

Please complete a timesheet at the end of the locum booking. The hours worked must be signed and verified by a person of authority at the practice. Timesheets must be sent to us by the end of the week. This enables our accounts department to process invoicing and payroll without delay.
A blank timesheet can also be downloaded from the ‘Resource Centre‘ section of our website.
Please check that emails have not gone into your spam or junk folder. If you do not receive email or text with confirmation of the booking, the booking may no longer be available. It may be that the booking was accepted by another dental professional, or that the practice cancelled the request.

Locum dental professionals that are on our payroll are paid on a weekly cycle. We pay our locum staff on the Friday on the week after the booking (weekly in arrears). Our weeks run Monday to Sunday.
We pay by bank transfer and an itemised payslip with all bookings is available in a self-service online payroll portal.
